General Terms and Conditions

Last updated: 14 August 2026

1. Scope and Parties

These terms govern the use of ramsteinairporttransfer.com and the arrangement of transfer services through it.

Ramstein Airport Transfer is operated by Transfer & Chauffeur Service, EL Hassane Tadrart, Im Kamp 14, 52146 Würselen, Germany ("we", "us").

We are a booking platform. We do not operate vehicles and do not carry out journeys ourselves. We arrange transfers with licensed partner companies, which perform them in their own name and on their own account.

Two separate contracts arise from a booking:

  • A brokerage contract between you and us, covering the arrangement of the journey and the handling of payment. These terms govern that contract.
  • A contract of carriage between you and the partner company performing the journey. That company is responsible for carrying out the transfer, for the vehicle used and for the driver.

We remain your single point of contact for the booking. Questions, changes and complaints are handled by us.

2. Services

We arrange two types of service:

  • Individual transfers — a vehicle with driver for a specific route, priced per journey. This includes transfers for larger groups where a single vehicle is sufficient.
  • Charter services — a minibus or coach hired in full for a journey, a day or a defined period. Charter vehicles are hired as a whole; we do not sell individual seats.

Different payment and cancellation terms apply to each, as set out in Sections 4 and 5.

3. Booking and Confirmation

Bookings can be made through our online booking form, by email, by phone or by WhatsApp.

Submitting a booking request is an offer to enter into a contract. A booking becomes binding only when we confirm it in writing by email. Displayed availability is not a guarantee.

The confirmation states the date, time, pickup and drop-off location, number of passengers, vehicle category and the agreed fare.

Please check the confirmation carefully and inform us immediately of any errors.

4. Prices and Payment

Fares are fixed at the time of booking. Unless stated otherwise, they include VAT, tolls, fuel surcharges, and access to U.S. military installations where applicable.

Fares depend on distance, vehicle category, number of passengers and any additional services requested.

Payment is made through our website using PayPal, which also processes credit and debit card payments without requiring a PayPal account. We collect payment in our own name and settle with the partner company separately.

Individual transfers. The full fare is payable when booking. The booking is confirmed once payment has been received.

Charter services. A deposit of 30% of the total price is payable when booking. The remaining balance is due no later than 14 days before the start of the journey. If a charter is booked less than 14 days before the start of the journey, the full amount is payable immediately.

If the balance is not received by the due date, we may treat the booking as cancelled and apply the cancellation terms in Section 5.

Additional charges arising during or after the journey — extended waiting time under Section 6, additional stops, or cleaning costs under Section 10 — are invoiced separately.

5. Changes and Cancellation

Cancellations and changes must be sent to us in writing by email. The time we receive your message determines which terms apply.

Because charter vehicles are hired in full, a cancelled journey cannot be resold at short notice. Charter bookings made 30 days or less before departure are therefore binding from the outset and cannot be cancelled free of charge.

Refunds are issued to the payment method used for the booking, normally within 14 days.

Changes to a confirmed booking are possible subject to availability and may affect the fare. Please contact us as early as possible. A change that materially alters the booking — for example a different date — and is requested within the periods above is treated as a cancellation followed by a new booking.

Cancellation by us. If a journey cannot be performed for reasons within our control, we will inform you immediately, arrange an alternative where possible, and refund the full amount paid if no alternative is available.

6. Waiting Time

Airport pickups. We monitor arriving flights and adjust the pickup time to the actual landing time at no extra charge. Up to 60 minutes of waiting time after landing is included in the fare. Beyond 60 minutes, each commenced 15-minute period is charged at €25 including VAT.

All other pickups. Up to 15 minutes of waiting time after the agreed pickup time is included. Beyond that, each commenced 15-minute period is charged at €25 including VAT.

If you know in advance that you will be delayed, please contact us or the driver as early as possible.

7. Your Responsibilities

You are responsible for providing accurate booking details — in particular the pickup address, time, flight number where relevant, number of passengers, and the amount of luggage.

You must be ready to depart at the agreed pickup time, together with all accompanying passengers.

If you do not appear and have not informed us, the full fare is charged.

When travelling to catch a flight, train or other connection, please allow sufficient time. We are happy to advise on a suitable pickup time, but the decision remains yours.

8. Luggage

Each passenger may bring one standard suitcase and one item of hand luggage. Oversized, additional or unusual luggage — for example sports equipment, musical instruments or child seats — must be declared when booking so that a suitable vehicle can be arranged.

Transport may be refused if undeclared luggage exceeds the vehicle's capacity. In that case the full fare remains payable.

You are responsible for your personal belongings. Neither we nor the partner company are liable for items left in the vehicle, except in cases of intent or gross negligence.

9. Access to Military Installations

Our partner companies hold the authorisations required to pick up and drop off at U.S. military installations including Ramstein Air Base, Sembach and Baumholder.

Access remains subject to the rules and decisions of the installation concerned. Where access is refused for reasons outside our control, we will arrange the nearest practicable alternative pickup or drop-off point.

10. Conduct During the Journey

Seat belts must be worn. Drivers' instructions relating to safety must be followed.

Smoking, the consumption of alcohol and the use of illegal substances are prohibited in all vehicles.

Soiling and damage. If a passenger soils the vehicle so that it requires cleaning beyond normal use — for example through vomiting or spilled food and drink — a flat cleaning fee of €150 including VAT is charged. Where the actual cost of cleaning or repair is higher, or where the vehicle cannot be used for further journeys, those costs are charged instead. You are free to demonstrate that no soiling occurred or that the actual cost was substantially lower than the flat fee.

These costs are charged on behalf of the partner company operating the vehicle.

The driver may refuse or discontinue carriage where a passenger's behaviour endangers safety. In that case the fare remains payable.

11. Liability

Our liability. We are liable for the proper arrangement of the journey — that is, for booking a suitable, licensed partner company for the time and route agreed, and for handling your payment correctly.

We are not liable for the performance of the journey itself. Responsibility for the journey, the vehicle and the driver lies with the partner company performing it.

Partner company liability. The partner company is liable under the contract of carriage and under statutory passenger transport law. Partner companies hold the insurance required by law.

Delays. Neither we nor the partner company are liable for delays caused by circumstances outside our control, including traffic conditions, road closures, weather, accidents or security checks.

Limitation. Liability for damage arising from injury to life, body or health, and liability under mandatory statutory provisions, remains unaffected. In all other respects our liability is limited to intent and gross negligence. In cases of slight negligence we are liable only for breach of an essential contractual obligation, and then only up to the foreseeable damage typical for this type of contract.

12. Right of Withdrawal

Contracts for the carriage of passengers are excluded from the statutory right of withdrawal for distance contracts under § 312(2) no. 5 of the German Civil Code (BGB).

The cancellation terms in Section 5 apply instead.

13. Complaints

If something goes wrong, please tell us as soon as possible — ideally during or immediately after the journey, so that we can address it while the facts are fresh.

We handle complaints directly and coordinate with the partner company concerned.

14. Data Protection

Information on how we process your personal data, including the transfer of booking details to the partner company performing your journey, is set out in our Privacy Policy.

15. Governing Law and Jurisdiction

These terms are governed by the law of the Federal Republic of Germany, excluding the UN Convention on Contracts for the International Sale of Goods. Where you are a consumer, mandatory consumer protection provisions of your country of residence remain unaffected.

If you are a merchant, a legal entity under public law or a special fund under public law, the place of jurisdiction is Aachen, Germany.

16. Dispute Resolution

The European Commission provides a platform for online dispute resolution: https://ec.europa.eu/consumers/odr

We are neither obliged nor willing to participate in dispute resolution proceedings before a consumer arbitration board.

17. Changes to These Terms

We may update these terms. The version in force at the time of your booking applies to that booking. Changes are published on this website.

18. Severability

If any provision of these terms is or becomes invalid, the remaining provisions remain in force.
